Who You Are: We are looking for an organized, experienced Financial Manager who lives near Jenkins, Kentucky, or is willing to relocate. You'd be a good candidate for this position if you love working with numbers and supporting nonprofit artistic work in a way that ensures it is financially sustainable.
Job Responsibilities: The Financial Manager is responsible for the accounting and budgetary management of Appalshop and reports to the Director of Administration. This role:
- oversees Appalshop's financial management by leading the annual budgeting process and working closely with program managers/directors to ensure budgets are balanced and followed
- oversees Appalshop's accounting by handling deposits and invoices and working closely with the development team to ensure donations are documented
- prepares and submits financial reports as required by funding sources and for the Board of Directors with oversight from the Director of Administration
- monitors cash flow and alerts the Director of Administration to any issues
- monitors Appalshop's 990 and audit processes by working closely with external accountants
Job Tasks: The Financial Manager undertakes a set of tasks (listed below) that enables Appalshop to be financially sustainable. Concretely, we foresee the Financial Manager as someone who has a good understanding of Appalshop's role in the community, who is a critical thinker and problem solver, and is experienced with nonprofit accounting and working with funders.
Financial Management
- Participate in the annual budgeting process, engaging with staff and the Board of Directors' Financial Committee.
- Prepare and submit financial reports as required by funding sources.
- Advise on long-range financial planning by communicating with administration, the Board of Directors, and Board committees.
- Prepare financial reports as needed for internal meetings and Appalshop Board meetings
- Ensure that an annual fiscal audit has been executed by an independent CPA/audit firm and submit all materials requested by the auditor in conformity with generally accepted accounting principles.
- Ensure that the annual 990 filing is completed.
- Advise administration and the Board of Directors with the help of investment advisors about how to maintain Appalshop's endowment and finances.
Accounting
- Receive and deposit funds within seven days of physical receipt, into the corporate banking accounts.
- Reconcile all accounts monthly, process accounts payable, and process bi-weekly payroll.
- Monitor cash flow and prepare cash flow projections as needed or requested.
- Advise on forecasting for future fiscal periods to the Director of Administration and Director of Strategic Partnerships.
- Work with external accountants to complete month- and year-end close.
- Ensure all taxes are filed on time (currently the external accountants handle this).
- Maintain petty cash.
- Other duties as assigned by supervisor.
Outcomes for the Financial Manager's Work:
- Clear accounting records, accessible to necessary stakeholders
- Timely audit reports
- Timely 990 filing
- Improved documentation of grants received
- Clear financial reports for internal and external stakeholders
- Balanced budgets for all programs
- Timely payment of invoices and intake of deposits
- Timely alerts to the Director of Administration about cash flow issues
- Paperless(ish) workflow
What Skills and Experience You Must Have:
- At least 2 years of accounting experience
- A minimum of a Bachelor's degree in Accounting
- Strong skills in Excel and Quickbooks
- Strong writing and prioritization skills
What Would Be Nice to Have (but not required):
- Experience accounting in a nonprofit environment
- Advance degree in Accounting
- A deep understanding of the intricacies of nonprofit accounting
Compensation: This role’s starting salary is $60,000-$70,000, commensurate with experience.This is a full-time salaried position with full benefits including 100% employer paid health insurance, generous retirement and life insurance benefits package. Appalshop has a 32-hour workweek with Fridays as flex days.
Location: Appalshop’s main offices are located in Jenkins, KY. This role is in-person.
